Terms and conditions
What you may expect of EasyFinance, and what we expect of you. Article 3 is the important one: the software prepares your return, but it does not file it and it is not a tax adviser.
1. Who these terms bind
These terms apply between Easy Finance B.V. (EasyFinance) and you as a user, from the moment you create an account or use the service.
- Easy Finance B.V., Librijesteeg 121, 3011 HN Rotterdam
- KvK (Dutch Chamber of Commerce) number: 98400924
- Contact: support@easyfinance.nl
EasyFinance is made for business use by entrepreneurs, in particular ZZP'ers (self-employed professionals in the Netherlands) and sole traders. You therefore enter into this agreement as a business and not as a consumer.
2. What the service is
EasyFinance is bookkeeping software. You can use it to create and send invoices, record expenses and receipts, connect a bank account to read in transactions, log hours per project, and keep track of your VAT position and prepare your return.
We keep developing the service. Features may be added, may change or may be dropped. If we drop something material, we say so in advance.
3. No bookkeeping or tax advice
This is the most important article of these terms, so it is written in plain language. EasyFinance is a tool, not an adviser. We are not an accountant, not a tax adviser and not an administration office, and what the software shows is not tax advice.
Concretely, that means the following. The software reads receipts, proposes categories and calculates a VAT position. Those results can contain errors, certainly with unusual documents, with foreign suppliers and with deviating VAT regimes.
You remain responsible for your own return and your own records. EasyFinance files nothing for you. A return goes out only once you have checked it and filed it. Check what the software proposes before you take it over, and bring in an adviser if you are in doubt.
4. Your account
- You create one account for yourself or for your business and keep your details up to date.
- You are responsible for what happens under your account and for keeping your login details secret.
- If you suspect misuse, let us know straight away at support@easyfinance.nl.
- You must be eighteen or older and authorised to act on behalf of your business.
- You can delete your account yourself at any time, in the app under Settings, Delete account. That erases your account and your records straight away and cannot be undone. It does not end a subscription bought in the App Store: cancel that first in your Apple Account settings.
5. Subscription, trial period and price
EasyFinance has a free trial version, Easy 0, and paid subscriptions: Easy 20, Easy 50 and Easy Unlimited.
A new account starts with Easy 0: seven days free, without a bank connection and with limited AI usage. To carry on after that, you choose a paid subscription. Your data simply stays where it is.
The current rates for the paid versions are on the pricing page and in the app. A paid subscription runs in periods of thirty days and renews for a further such period each time unless you cancel. Payment is due in advance.
We may change rates. We announce an increase at least thirty days before it takes effect, and in that case you may cancel with effect from the date on which the new price would apply.
In the iPhone app you take out a paid subscription through the App Store. Apple then charges your Apple Account and renews the subscription every month, and Apple's terms also apply to that payment. The price is the one the App Store shows, including VAT, which can differ from the price on the website.
6. Cancelling
You can cancel at any time in the app. The cancellation takes effect at the end of the current thirty-day period; there is no refund for that current period.
A subscription taken out through the App Store is cancelled in your Apple Account settings, and ends at the end of the current month. Refunds for App Store purchases are requested from Apple.
After cancelling you can export your records. We keep your data for as long as the tax retention obligation requires and delete it after that, unless you ask for deletion sooner. See the privacy policy.
We may terminate the agreement on thirty days’ notice, and with immediate effect if you seriously breach these terms or use the service in a way that causes damage.
7. What you do not do with the service
- Use the service for anything contrary to the law, including money laundering or tax fraud.
- Enter data you are not entitled to hold.
- Share your account or your access with others, or resell it.
- Circumvent the security, overload the service or scrape it automatically.
- Copy or decompile the software, or derive a competing product from it.
8. Whose data it is
Everything you put into EasyFinance stays yours. Your invoices, your receipts, your transactions and your records are and remain your property. We acquire no rights to them.
You give us the right to use that data only as far as needed to provide the service: to store, display, process and secure it. We do not use your records to train AI models and we do not sell them.
The software itself, the design and the EasyFinance brand name are and remain the property of Easy Finance B.V.
9. Availability
We do our best to keep the service available, but we do not promise uninterrupted availability. Where possible we announce maintenance in advance and schedule it outside office hours.
Parts of the service depend on third parties, such as your bank and our suppliers for reading receipts. If such a party goes down, the corresponding part may not work for a while. The rest of your records stays reachable as normal.
10. Liability
Our liability is limited to direct damage and to at most the amount you have paid us in the twelve months preceding the event. If you use the free version, that limit is correspondingly lower.
We are not liable for consequential loss, lost profit, missed savings, or for fines and additional assessments from the Belastingdienst, the Dutch tax authority. That last point follows from article 3: the return remains your responsibility and your check.
These limits do not apply in the case of intent or deliberate recklessness on our side, nor in so far as the law does not permit them.
11. Changes to these terms
We can change these terms. We announce a material change at least thirty days in advance through the app or by email. If you do not agree with it, you may cancel with effect from the date on which the change takes effect.
12. Governing law
Dutch law applies to these terms. Disputes go to the competent court in the Netherlands. Before it comes to that, we would much rather sort it out together at support@easyfinance.nl.
